Version 1.0, draft for legal review Last updated: 1 October 2026
This policy explains which personal data Gentells processes, why, on what legal basis, with whom it is shared, how long it is kept, and which rights you have. It forms part of the Gentells Terms and Conditions.
1. Who is responsible
The controller is Trendwolves NV, Vlasgaardstraat 52, 9000 Ghent, Belgium, company number 0882.982.288 ("we", "us"). Questions about your data go to info@trendwolves.com.
2. What we process, and why
Your account. When you create an account we store your name, email address, a hashed password (never the password itself), your plan, the interests you choose, and when you last signed in. We need these to give you access and to run the plan you chose. Legal basis: the performance of our agreement with you.
Your subscription. When you take a paid plan, our payment provider processes your payment details. We store only the references it gives us (a customer and subscription identifier) and when your plan renews. We never see or store card numbers. Legal basis: the performance of our agreement, and our legal obligation to keep accounting records.
The newsletter. When you subscribe to Gen Tells This Week we store your email address, where you subscribed, and when you unsubscribed if you do. Legal basis: your consent, which you can withdraw at any time through the link in every newsletter.
Messages you send us. The contact form stores your name, email address, company, the topic and your message, so we can answer. Legal basis: our legitimate interest in answering questions about our services, or steps you ask us to take before entering into an agreement.
Leads. When you register, ask for a trial or subscribe to the newsletter, we pass your name, email address, company and the kind of request to our sales tool, so the Trendwolves team can follow up. Legal basis: our legitimate interest in responding to people who show interest in our services. You can object at any time (see section 7).
Use of the services. We record which pages and reports a signed-in user reads through the website, the API or a connected AI assistant, and the outcome of each request. We use this to apply the limits of your plan, to show you your own usage, and to detect misuse. Legal basis: the performance of our agreement and our legitimate interest in protecting the services.
Connected AI assistants and API keys. When you connect an AI assistant or create an API key, we store the authorisation it was given and when it was last used. You can revoke it in your account.
Feedback. If you rate or comment on a post, we store that feedback with your account.
Technical data. For your session we store your IP address, your browser's user agent and when you were last active. Our servers keep access logs for security. Legal basis: our legitimate interest in running a secure site.
3. Cookies
We use cookies that are strictly necessary for the site to work: the session cookie, a cookie that protects forms against forged requests, and, before launch, a cookie that remembers a preview link. These need no consent.
We do not use advertising cookies. If we add analytics, we will only set analytics cookies after you consent, and this policy will name the tool.
4. Who we share data with
We do not sell personal data. We share it only with the processors that run parts of the service for us, under a data processing agreement:
- Hosting: Hetzner Online GmbH (Germany), where the site and its database run.
- Email delivery: Resend, Inc. (United States), which sends account, newsletter and service emails.
- Sales follow-up: Clay Labs, Inc. (United States), the tool the Trendwolves team uses to follow up on leads.
- Payments: Mollie B.V. (the Netherlands), once paid plans are live.
- Error monitoring: Laravel Nightwatch, which receives technical error reports that can include the identifier of the signed-in user.
We disclose data to authorities only where the law requires it.
5. Transfers outside the European Economic Area
Some processors are based in the United States. Where data leaves the European Economic Area, we rely on the EU-U.S. Data Privacy Framework where the provider is certified, or on the European Commission's standard contractual clauses.
6. How long we keep it
- Account data: as long as your account exists, and deleted within 30 days after you close it, except what we must keep for accounting.
- Invoices and payment records: seven years, as Belgian accounting law requires.
- Newsletter subscriptions: until you unsubscribe; we then keep only the address and the date, so we do not email you again.
- Contact messages and leads: two years after the last contact.
- Usage records: twelve months.
- Sessions: until they expire; server logs: up to 90 days.
7. Your rights
You have the right to access your data, to have it corrected or erased, to restrict or object to its processing, to receive it in a portable format, and to withdraw consent at any time without affecting earlier processing. To use any of these rights, write to info@trendwolves.com. We answer within one month.
You can also lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be.
8. Security
Passwords are stored as hashes, all traffic is encrypted, access to the servers is limited to the people who run them, and backups are encrypted.
9. Changes
We may update this policy when the service changes. The date at the top says when it last changed. If a change matters to how we use your data, we will tell signed-in users before it takes effect.
